1. Membership, Registration & Fees
1.1 Registration: All Members must complete the Club registration form and provide emergency contact and medical information.
1.2 Eligibility: The Club may set age categories, tryout requirements and selection criteria for teams and squads.
1.3 Fees & Payment: Membership is free of charge. No membership fees, training fees or competition entry fees are collected unless otherwise stated for special events.
1.4 Refunds & Cancellations: As membership is free, no refunds apply. If the Club cancels an activity that required a paid optional contribution (e.g. a special tournament or event), any payments will be refunded where appropriate.
2. Code of Conduct
All Members, parents/guardians, volunteers and staff must behave respectfully and lawfully.
- Abusive, discriminatory, or violent conduct will not be tolerated and may result in suspension or expulsion.
- Respect coaches' and officials' decisions and avoid dissent or aggressive confrontation.
- Arrive prepared with suitable clothing, footwear and equipment.
3. Anti-Bullying Policy
The Club promotes an environment free from bullying. Bullying may be verbal, physical, online (cyberbullying) or social exclusion.
Reports of bullying will be treated seriously, investigated promptly by the Welfare Officer and may lead to disciplinary action.
4. Equality, Diversity & Inclusion
The Club is committed to equal opportunities and will not tolerate discrimination on grounds of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex or sexual orientation in line with the Equality Act 2010.
Reasonable adjustments will be made for Members with disabilities where practicable.
5. Safeguarding & Child Protection
The Club follows guidance from the NSPCC Child Protection in Sport Unit and relevant national bodies. All staff and volunteers working with children have an enhanced DBS check where required.
6. Health & Safety
Members must disclose medical conditions at registration. The Club will hold basic first aid provision and may call emergency services if required.
Concussion & Head Injury: The Club follows recognised concussion protocols. Players suspected of concussion will be removed from play and should not return until medically cleared.
7. Data Protection & Privacy (UK GDPR)
The Club processes personal data in accordance with UK GDPR and the Data Protection Act 2018. We collect minimal data necessary for administration, welfare and competition entry.
Use of Personal Data: To manage membership, communicate, arrange fixtures and safeguard Members. We will not share personal data with third parties without consent except where required by law (e.g. safeguarding, emergency services).
8. Photography, Video & Social Media
The Club obtains consent for photography and video. Parents/guardians can withdraw consent at any time. Images of juniors will not be published with identifying personal details without consent.
Members must use social media responsibly: no sharing of abusive, offensive or private information about other Members. Breaches may lead to disciplinary action.
9. Insurance & Liability
The Club holds public liability insurance. Personal injury and loss of personal property are not automatically covered — Members are encouraged to obtain personal accident and belongings insurance.
The Club limits liability to the maximum extent permitted by law.
10. Disciplinary Procedure
Breaches of these Terms may result in informal resolution, formal warning, suspension or termination of membership. Serious incidents (criminal, violent or safeguarding issues) will be reported to statutory authorities and may lead to immediate suspension pending investigation.
11. Complaints Procedure
- Raise the concern informally with the coach or team manager.
- The Committee will acknowledge within 7 working days and aim to resolve within 28 days.
12. Volunteers & Coaches
Volunteers and coaches must agree to Club policies, attend induction and training, and comply with DBS, safeguarding, and coaching standards applicable to their role.
13. Equipment, Kit & Facilities
Members are responsible for their own kit and should follow venue rules. Lost property will be held for a reasonable time then disposed of/donated.
14. Amendments, Governing Law & Contact
The Club may update these Terms. Significant changes will be communicated to Members in writing.
These Terms are governed by the laws of England and Wales (or substitute with Scotland/Northern Ireland as appropriate) and disputes will be subject to the courts of that jurisdiction.
